1.1. “Client” means the person, group, or company hiring Kings Weston House.
1.2. “Company” means Kings Weston House.
1.3. “Hire Period” means the length of time for which the Company has agreed to permit the Client to use the House.
1.4. “House” means the Kings Weston House, located at Kings Weston Road, Kings Weston, Bristol, BS11 0UR.
1.5. “Facilities” includes but is not limited to lights, projection equipment, sound equipment, chairs, etc.
1.6. “Kings Weston House Hire Agreement” means the agreement entered into between the Client and the Company in relation to the House of which these terms and conditions form part.
2.1. The Client shall pay a non-refundable deposit of 50% of the total hire fee on signature of the Kings Weston House Hire Agreement unless otherwise agreed in writing.
2.2. The Client shall pay the balance within 7 days of the “3 month meeting” where final numbers and details are confirmed. VAT will be charged if applicable.
2.3. After the event, any balance owed by either party (e.g., from damage deposit or change in numbers) will be settled.
2.4. For bookings made less than 3 months in advance, the full fee is payable upon signature of the Kings Weston House Hire Agreement.
3.1. A damage deposit of £500-£2000 (depending on the nature of the event) will be charged with the final balance. This deposit will cover any repair costs due to damage caused by the Client.
3.2. If the House is returned in a satisfactory condition, the damage deposit will be refunded at the end of the Hire Period.
4.1. Written notice of cancellation will result in the forfeiture of any deposit.
4.2. In case of a COVID-related cancellation, the aforementioned special terms will apply.
5.1. The Company shall ensure the House is available for the Hire Period, free from obstructions and in reasonable working order.
5.2. The Client acknowledges that Kings Weston House includes public areas and a café that operates independently on the lower floor.
5.3. The Company will not be liable if the House or any part is not suitable for the Client’s purpose.
6.1. The House may not be used for unlawful purposes.
6.2. Fireworks are prohibited on the premises.
6.3. The Client agrees to keep the House tidy and return it in the same condition as when hired.
6.4. Decorations and property must be removed after the event, with a seven-day grace period before uncollected items are donated to charity.
6.5. The use of hazardous or noxious materials is not permitted.
6.6. Smoking is not permitted within the House.
6.7. Sub-letting or sharing the House with third parties is prohibited.
6.8. The Client occupies the House as a licensee only and has no security of tenure.
7.1. The Company and its insurers are not liable for theft, loss, or damage to the Client’s property.
7.2. The Client must arrange their own insurance for property during the Hire Period.
7.3. The Client indemnifies the Company against any claims and liabilities arising from the hire of the House.
7.4. Any tools or equipment borrowed by the Client are used at their own risk.
8.1. The Company reserves the right to terminate the agreement if the Client breaches any of the terms and conditions. In such cases, the Client must vacate the House immediately.
8.2. The Company may charge for any costs incurred in remedying any failure by the Client, such as cleaning or repairs.
Any changes to the Kings Weston House Hire Agreement must be made in writing and signed by both parties.
Nothing in the agreement creates any partnership or tenancy between the parties. The Client does not have the right of possession of the House, and it remains under the sole control of the Company.
Neither party is liable for delays or non-performance due to circumstances beyond their reasonable control, such as Acts of God, government restrictions, fire, flood, power failure, strikes, or other unforeseen events.
Please note: In any instance where food is consumed at Kings Weston House, cross-contamination risks can never be entirely eliminated. Customers with allergies need to clearly communicate their dietary requirements before consuming any food, and will do so at their own risk.
12.1. Café Food Allergen Information:
The café at Kings Weston House takes reasonable steps to provide allergen information for all food items available. However, the Client and their guests are responsible for ensuring they communicate any food allergies or intolerances to the café staff when placing orders.
12.2. Event Catering (Internal or External):
For events where food is provided, whether by Kings Weston House or by an external caterer, the Client is responsible for informing the Company or any external caterers of any food allergies or intolerances in advance of the event.
Internal Catering: Kings Weston House will take all reasonable steps to accommodate allergies or food preferences if informed in writing at least 14 days prior to the event. However, cross-contamination risks cannot be entirely eliminated, and the Client must ensure that guests with severe allergies are aware of this.
External Catering: If external caterers are hired by the Client, the Company bears no responsibility for allergen management by these third-party providers. It is the Client’s duty to ensure that the external caterer provides appropriate allergen information and safeguards against cross-contamination.
12.3. Client and Guest Responsibility:
The Client is responsible for informing their guests about the need to communicate any food allergies or intolerances directly to the café or caterers during the event. Guests must also exercise caution and inquire about potential allergens when consuming food on the premises.
12.4. Liability:
Kings Weston House and its associated food providers (internal or external) will not be held liable for any allergic reactions or health issues arising from the consumption of food on the premises.
